Registration & Abstract Submission

Registration Guidelines

1. Registration Categories:

➤ Early Registration: Available till 20^th October, 2025.
➤ Regular Registration: Available till 15^th November, 2025.
➤ Late Registration: Available till 30^th November, 2025.
➤ Categories: IVS Members, Non-IVS Members, Students, Research Fellows, Industry, Corporate, Accompanying Person.

2. Registration Fees:

➤ Fees vary based on registration category and time of registration (Early Bird, Regular, Late).
➤ Payments can be made via online link provided in your registered email.
➤ To ensure participation, make sure that the fee is paid by the registration deadline.

3. Registration Process:

⭕Fill out the online registration form available on the conference website.
⭕Provide all necessary information, such as your complete name, affiliation, and contact details.
⭕After successful registration, a registration number will be generated and it will be shared in your registered email. Kindly note it for future reference.
⭕Participants who wish to present their research should complete the registration as presenter in the Delegate Registration Form. They can upload their abstract as instructed in the guidelines.
⭕Once you receive your abstract acceptance confirmation, you have to proceed with the conference fee payment.
⭕The payment link will be shared to your registered email with the acceptance confirmation.

Abstract Submission Guidelines

1. Eligibility:

➤ The abstract should include the Title, Authors, Affiliation, Email, and Main Text.
➤ Avoid using tables, figures, or references in the abstract text.

2. Title of Abstract:

➤ Should be concise and accurately reflect the content of the abstract (max 25 words).
➤ Type the title in small letters.

3. Author(s):

➤ One space between initials and two spaces between different authors.
➤ Example: A. Aman B. Bman – Presenting author should be underlined.

4. Affiliation and Contact:

➤ If only one institution is listed, do not use numbering.
➤ Include a valid contact email.

5. Text of Abstract:

➤ Word Limit: Max 250 words
➤ Font: Times New Roman, 12pt, single-spaced
➤ File Format: Editable Word document (.doc or .docx), max 5MB document
➤ Note - Please do not send pdf files or Abstract images.

Fee Payment

The registration fee should be paid in the ICMR-National Institute of Virology (ICMR-NIV) account as per Delegate Registration Form.

POSTER PRESENTATION GUIDELINES

• The dimensions of the poster should be exactly 3 x 3 feet (36 x 36 inches / 91.44 x 91.44 cm).

• High-quality print with lamination finish.

• Double-sided tape/pins/poster board/space will be provided for the mounting of poster.

• Leave a margin of about an inch along all edges of the poster.

• You are free to change the color of the text or the background of your poster as per your preference.

• The footer section outlined in the poster template (also shown below) must not be removed or modified.

Poster Template Reference (for footer and layout)

• The poster should have – Title of the Study, Name of Authors (the name of the presenter should be underlined), and Affiliations. On the top of the poster as stated on the submitted abstract.

• Introduction/Rationale, Novelty, Aim and Objectives, Methodology, Results, important References, Conclusion and Acknowledgement (including Funding Source, if any) – for original research work.

• Fonts: Use standard & readable fonts (Arial/Calibri/Times New Roman). Ensure a minimum font size (e.g., 24 or 28pt depending on the overall poster size) for readability from a distance.

• Participants are requested to adhere to the template for better visualisation.
